Job Description


We are looking for a detail-oriented and organized Administrative Assistant to join our team. The successful candidate will be responsible for arranging and coordinating seminars, conferences, and meetings, recording and preparing minutes of meetings, and answering and relaying telephone calls and messages. They will also be responsible for answering electronic inquiries, compiling data and statistics, and ordering office supplies. Responsibilities also include arranging travel and related itineraries, opening and distributing mail, and typing and proofreading correspondence and documents.

Responsibilities:

  • Arrange and coordinate seminars, conferences, and meetings.

  • Record and prepare minutes of meetings, seminars, and conferences.

  • Confirm appointments.

  • Answer telephone calls and relay messages.

  • Answer electronic inquiries.

  • Compile data, statistics, and other information.

  • Order office supplies and maintain inventory.

  • Arrange travel and related itineraries, and make reservations.

  • Open and distribute regular and electronic incoming mail and other material, and coordinate the flow of information.

  • Type and proofread correspondence, forms, and other documents.

Qualifications:

  • Secondary (high) school graduation certificate.

  • 1 year to less than 2 years of experience.

  • Strong computer and technology knowledge.

  • Experience with electronic schedulers, MS Access, MS Excel, MS Word, MS Office, and MS Windows.

  • Excellent communication and interpersonal skills.

  • Strong organizational and time management skills.

  • Ability to work independently and as part of a team.
